About the position:
The Director of Hospice Operations is responsible for overseeing and supporting the operational efficiency, compliance, and quality assurance of hospice locations. Reporting to the Vice President of Hospice Operations, this role provides leadership and oversight in billing compliance, EMR management, and training programs to ensure operational success. The Director collaborates with hospice leadership to maintain high standards in billing and cost efficiency, regulatory adherence, and business operations.
This leadership role reports directly to the Vice President of Operations – Hospice and plays a crucial part in maintaining operational excellence, regulatory compliance, and staff development across hospice locations.
Essential Job Functions:
Operational Leadership & Compliance:
- Ensure hospice locations comply with state, federal, ACHC, and HIPAA regulations, maintaining privacy and confidentiality of patient records.
- Oversee billing holds and unbilled claims management, ensuring timely resolution to prevent revenue loss.
- Monitor electronic medical record (EMR) workflows, verifying completeness and accuracy of documentation prior to billing submission.
- Identify and address problematic trends in operations, escalating issues to hospice leadership as needed.
- Monitoring expenses and billing efficiency.
Training & Staff Development:
- Assist hospice locations with staff orientation, onboarding, and training, ensuring new hires understand business operations, billing, payroll, and HR procedures.
- Serve as a resource for field leadership, ensuring compliance with company policies, and business workflows.
- Develop and implement audit tools, training materials, and operational workflow improvements for hospice teams.
Process Improvement & Administrative Oversight:
- Monitor coordination note workflow and follow up with hospice locations to ensure timely processing of administrative tasks.
- Maintain a comprehensive working knowledge of EMR and software systems, staying updated on upgrades and enhancements.
- Collaborate with hospice Executive directors and field leadership to enhance business efficiencies and maintain operational consistency.
- Provide ongoing reporting and analytics related to billing, compliance, and operational performance.
- Travel as needed to support hospice locations and provide hands-on operational guidance.
- Other duties as assigned.
Supervisory Responsibilities:
- Oversee and support hospice administrative and operational staff, ensuring adherence to company policies.
- Work closely with Executive Directors, Patient Care Managers, and Business Office teams to implement operational improvements.
- Monitor team performance and provide coaching, mentorship, and training to enhance efficiency and compliance.
Qualifications:
- Bachelor’s degree preferred in Business Administration, Healthcare Administration, Human Resources, or a related field (or equivalent experience).
- 2+ years of business operations experience, including 1+ year of supervisory experience (preferably in a healthcare or hospice setting).
- Homecare Homebase experience.
- Experience with billing, payroll, accounts payable/receivable, and operational compliance.
- Working knowledge of hospice regulations or willingness to undergo training to meet compliance standards.
- Strong leadership and operational management skills, with experience in hospice or healthcare administration.
- Knowledge of hospice regulatory standards, billing processes, and payroll procedures.
- Exceptional problem-solving and critical thinking skills, with the ability to streamline workflows and enhance efficiency.
- Proficiency in EMR systems and business software applications, including Microsoft Office (Excel, Word, Outlook, Teams).
- Excellent communication and interpersonal skills, with the ability to train, mentor, and collaborate with diverse teams.
- Ability to analyze operational trends and implement data-driven improvements.
- Willingness to travel to support hospice locations as needed.
